For the public sector

Artificial intelligence for public institutions

We train your staff, set the rules and introduce solutions that take the load off administration. With data processing in the EU and the documentation you need to make a decision.

What we see

Three patterns we see in public institutions

AI is already in use, with no rules

Staff already use AI, often on personal accounts and with no agreement on which data may go into a tool.

The EU AI Act requires literacy

An institution that uses AI has to ensure a sufficient level of AI literacy among the staff who use it. No certificate is prescribed, but a record of training is hard to do without.

Time goes into repetitive work

Answering recurring questions, searching through documentation and regulations, and preparing reports take hours that should go into substance.

How we help

Three things, in the order you can commission them

  1. 01Training and policyStaff training, an internal AI usage policy and a classification of data by sensitivity. It meets the EU AI Act literacy requirement and documents it.
  2. 02Process analysisInterviews with staff, time measured per process and an implementation plan with the return and the effort estimated for each opportunity.
  3. 03Pilot solutionOne solution on a limited scope, before you decide to extend it.
    • an internal assistant for searching regulations and documentation
    • answering frequently asked questions from the public
    • preparing summaries and reports

Security and data

Set up so that your IT team can review it

Every solution goes through the same framework, regardless of the size of the institution.

  • Processing in the EU, where that is a condition
  • Use of the environment you already have (Microsoft 365, Google Workspace)
  • Anonymisation of personal data before processing
  • Data processing agreement (DPA) and a list of sub-processors

How we work together

From the first conversation to the decision to continue

  1. 01Intro conversation, no obligation
  2. 02A proposal with an itemised scope of work, suitable for your procurement procedure
  3. 03We prepare the documentation and declarations you require
  4. 04A pilot, then the decision to continue

Experience

Solutions in environments with sensitive data

Three cases from sectors where personal data and confidentiality are a condition of the work: insurance brokerage, data protection and healthcare.

Insurance brokerage

An AI operating system for the whole company

We set up a business environment and an AI operating system for the whole team, with system instructions and connections to their existing documents and tools, then trained the team on their own cases.

DataOfficer

Document anonymiser

An application that strips personal data from a document before it goes into an AI tool, so they can use the tool on work that would otherwise be off limits.

Post visit communication

Automatic satisfaction checks after a visit and an introduction to further services where they make sense.

Common questions

Is the data processed in the EU?

Where that is a condition, yes. We design the architecture with processing inside the European Union or use the environment the institution already has. If that is not feasible with the chosen tool, we say so before the start.

Can we use the Microsoft 365 we already have?

Yes. We set up the solution inside your existing tenant, with access to specific folders and mailboxes only. Data stays under your existing contracts and oversight.

What does the EU AI Act require regarding staff literacy?

That the institution takes measures to ensure a sufficient level of AI literacy among staff who use AI. No certificate or exam is prescribed; what counts is content tied to roles and tools, and a record of who was trained and when.

How is personal data protection handled?

We classify data into three sensitivity levels, sign a data processing agreement and provide a list of sub-processors. Where personal data is unavoidable in the content, we anonymise it before processing.

What does the proposal look like, and does it fit our procurement procedure?

The proposal contains an itemised scope of work, deadlines and a price with no hidden items. As part of the proposal we prepare the documentation and declarations your procedure requires, before signing and not after.
